Our Policies & Procedures

Please do not come or bring your child to the clinic if you or they are sick.
If you or your child are ill, we ask that you call the clinic or your clinician as soon as possible, yet we understand that there may be times when you need to make a last-minute call. There will never be a missed appointment fee due to sickness. You or your child may return to therapy when you or your child are symptom free without the use of medication for a minimum of 24 hours.
For the health and safety of our community, we ask families to note the following:
Call as soon as possible to let us know that you or your child is sick.
We can explore options for therapy such as telehealth, an outdoor session, or masking depending on the type of sickness and the therapist.
Cancel the session if you or your child exhibits the following symptoms:Fever in the last 24 hours
Nausea, vomiting, diarrhea in the last 24 hours
Peer Projects Therapy from the Heart is considered a medical facility. Please let us know if you or your child has any special risk factors or vulnerabilities and needs an accommodation of a masked setting, so we can be aware of and meet this need. Your therapist will never put you at risk.
We have a lot of families who are immunocompromised so we would really appreciate it if you kept that in consideration when visiting our offices. Please do not bring any siblings that are sick to our offices as the waiting area should be a safe environment for everyone to use.
We appreciate your attention to this matter and in helping to keep us all healthy.

At Peer Projects and Therapy from the Heart, your scheduled appointment time is reserved exclusively for your child. We do not overbook appointment times therefore always ensuring we provide excellent individual therapeutic services to you or your child. We strive for excellence in the quality of services we provide. Consistent attendance from you is a key factor in you or your child’s progress. We understand that schedules can be challenging, and we will always do our best to accommodate your scheduling needs. When we receive advance notice of cancellations, it helps us accommodate other families, and avoid gaps in our therapist schedules, which results in lost revenue and time.
To support the most effective therapeutic process for all our clients, please review and adhere to the following policies:
Cancellations/Missed Appointments
Missed appointments without appropriate notice will necessitate the assessment of the cancellation fees outlined below, unless we are able to make-up the session within the same week:

Evaluations and Social Group Intakes
● Less than 24 hour notice: $60
● No show (client does not call or email to cancel, and does not show up for their evaluation or social group intake): $100
Therapy Sessions
If you contact your clinician directly, please also notify our office to ensure your cancellation is processed promptly in our scheduling system.
● Minimum 24-hour notice is required for cancellations.
● Appointments cancelled with less than 24 hours’ notice will be subject to a $60 cancellation fee.
● If you do not show up for your appointment and do not call or email, the full private pay amount of your session
will be due.
● Exception: This fee does not apply to illness or emergency situations.
● Note: For your first missed therapy appointment or late cancellation, we will call or email to be sure that you are well, we will reschedule your appointment if possible, and no fee will be charged.
Clients Commitment to Therapy
● Clients are expected to maintain a minimum 80% attendance rate.
● When clients fall below this threshold, we will reach out to you to problem solve or see if there is a more suitable time for an appointment. This may mean clients are placed back on our waitlist until a better time becomes available.
● Speech therapy, social group, and feeding session clients often have the option to switch to telehealth for the day if they can’t make it in person.
Although families may not think of this as an option at first, telehealth sessions are often a productive and meaningful way to maintain continuity of therapy, and offer continued connection between the client, caregivers, therapist(s), and in the instance of a group, the client’s peers.
If you cannot make it in person, please inquire with our admin team or your therapist about this possibility.
Vacations
● Please provide as much advance notice as possible for any vacation-related absences that affect your usual schedule.
● Planned vacation absences are not subject to cancellation fees, provided the family maintains the 80% attendance rate.
Back-to-Back and Sibling Appointments
● PPTFTH may offer back-to-back or co-occurring sibling therapy appointments as a convenience.
● Standard cancellation policies apply to any missed services.
● If you are given notice that one therapist is absent, you remain responsible for attendance at the other scheduled appointment(s).
● If canceling back-to-back or co-occurring sibling sessions, please make sure to indicate all cancellations (e.g., “OT and group”), so that it is clear both sessions are being canceled.
Therapist Planned or Unplanned Absences
● In the event of a therapist absence, PPTFTH will attempt to reschedule the appointment with a substitute therapist based on therapeutic judgment.
● If coverage is offered at the usual appointment time and declined, it will count as a patient-initiated cancellation and calculated towards overall attendance rate, but will not be subject to a cancellation fee.
● If it is determined that an appointment with a substitute therapist would not be therapeutically beneficial to the client, it will be canceled by the clinic and will not affect the client’s attendance rate.
Illness
● Clients should not attend their session if they are sick. Clients must be free of fever or vomiting for 24 hours without medication management.
● If you or your child is ill, please call the office as soon as possible.
● We understand that last-minute illness may occur and appreciate your communication.
Peer Projects LLC and Therapy from the Heart LLC bill insurance and families separately. For this reason, if your child is seen for OT and Speech services on the same day, you may be making two payments or paying two copays. Additionally, if your child is scheduled for both OT and Speech services and you don’t keep these appointments, you may be responsible for two missed appointment charges as per the cancellation and missed appointment notices above.
